Accounts Payable/Receivable Specialist

The National Association of Mutual Insurance Companies (NAMIC) has a full-time opportunity for an AP/AR Specialist at our Indianapolis, IN location. This position provides accounting support for the Finance Department for NAMIC and multiple affiliated entities.

Responsibilities for this position include, but aren’t limited to:

  • Prepares, processes, posts, verifies, and records customer payments and transactions related to accounts receivable.

  • Initiates follow-up on all outstanding invoices including second notices, emails, and phone collection calls.

  • Serves as back-up for accounts payable duties.

  • Assists in completing and tracking of W-9s for the 1099 forms.

  • Maintains files in accordance with company policies for all entities.

  • Performs data entry as needed for required government reporting.

  • Reviews and reconciles accounts receivable reports monthly.

  • Creates ad hoc reports as needed.

  • Provides excellent customer service both internally and externally by responding timely to inquiries.

Qualifications include:

  • 2+ years of relevant work experience.

  • Proficient in Microsoft Office, Google Suite, or related software.

  • Accounting software experience. Microsoft Dynamics GP or Sage Intacct experience preferred, but not required.

  • Previous experience with multiple company accounting preferred.

  • Understanding of complete cash receipts and disbursement process.

  • Ability to successfully pass a criminal background and MVR check.

Compliance Analyst (Remote)

The National Association of Mutual Insurance Companies (NAMIC) has a full-time remote opportunity for a Compliance Analyst. This position works with the General Counsel and Compliance Manager to develop strategies, products, resources, and compliance-related solutions for NAMIC members. This role is also directly responsible for execution of elements of the compliance strategic plan as directed.

Responsibilities for this position include, but aren’t limited to:

  • Directly assists in the development and execution of the NAMIC compliance function strategic plan, including determining the optimal allocation and use of resources and NAMIC personnel.

  • Performs appropriate and useful research and analysis regarding legal and regulatory compliance requirements within the property/casualty insurance industry.

  • Sources and hosts speakers for compliance webinars and presentation of any in-person compliance-related educational programs for NAMIC members.

  • Monitors, reviews, and analyzes property casualty insurance enacted laws, adopted regulations, supervisory notices, market conduct actions and examinations, and regulatory bulletins on an ongoing basis and shares responsibility for drafting notifications, analyses, or other communications to NAMIC members on emerging issues.

  • Assists with development of compliance content for website, resource centers, discussion forums, magazine, or other print/digital publications or communications, including formal written compliance guides and other practical compliance resources.

  • Monitors and updates existing 50-state research and identifies subjects for, researches, and drafts new 50-state research.

  • Develops and maintains quarterly compliance analytics report with meaningful metrics to drive strategic planning and resource management.

  • Prepares member outreach and provides guided virtual member demonstrations on an ongoing basis.

  • Maintains and updates Market Conduct Insights tool, including development of schedule and guidelines for updating with new exams and enforcement actions.

  • Responds to inquiries from NAMIC members as requested.

  • Represents NAMIC at various compliance-related insurance industry functions.

  • Participates in the NAMIC compliance council.

Qualifications include:

  • 3-5 years of legal or regulatory compliance experience in the property/casualty insurance industry.

  • Achievement of formal insurance-related designation such as CPCU or equivalent preferred.

  • Excellent research and analytical expertise.

  • Ability to successfully pass a criminal background and MVR check.

Executive Administrative & Marketing Assistant (Hybrid)

NAMIC Insurance Company (NAMICO), NAMIC's in-house professional liability insurance company, has a new opportunity for an Administrative Assistant at our Indianapolis location. This full-time position will provide support for the NAMICO President/CEO and NAMICO leadership team as assigned.

Essential functions of the position include:

Provides/coordinates administrative matters for the NAMICO President/CEO and senior leadership team as assigned:

  • Reports directly to President/CEO.

  • Composes correspondence; manages office mail; relays telephone calls.

  • Creates/administers calendar for President/CEO, scheduling and tasks (appointments; priorities).

  • Coordinates all travel arrangements and itineraries for the President/CEO.

  • Assists with speaking engagements (including scheduling and presentation materials).

  • May be asked to assist with other department reports and light accounting tasks.

Assists President & CEO with Board, Committee, and other governance responsibilities:

  • Coordinates arrangements and schedules for meetings related to the NAMICO Board, and its committees.

  • Assists in maintaining content in board portal.

  • Reviews and edits board material content.

  • Communicates and coordinates meeting needs to Education & Events staff who will manage facility logistics, and hospitality arrangements for board/committee meetings/events.

Assists President & CEO with organizing management meetings:

  • Schedules meetings (monthly for President & CEO direct reports; periodically for others) and retreats.

  • Supports agendas, materials, presentations and distribution/posting. 

  • Monitors progress and follows up on assignments for related projects/tasks.

Assists President & CEO with marketing:

  • Assists with developing, executing, and evaluating marketing efforts for assigned products/events including writing marketing copy, preparing list requests for mailings, digital promotion, and coordinating event brochure mailings.

Provide professional office and related support:

  • Builds and maintains positive work relationships with management, staff members, and external contacts.

  • Collaborates with other department's executive assistants building a network of support for one another and the Executive/senior management teams.

  • Assists in coordinating charitable efforts hosted/sponsored/organized by NAMICO.

  • Arrives to work on time and maintains a positive attendance record.

  • Performs any other duties and projects as assigned.

Qualifications include:

  • Experience with Microsoft Office products including Outlook, Teams/GoToMeeting, PowerPoint, and Excel.

  • General meeting planning knowledge/experience is recommended.

  • College degree preferred, or equivalent experience required.

  • Ability to successfully pass a criminal background and MVR check.

  • Occasional overtime and weekend work is required.

  • Must be able to travel for business by car and/or plane occasionally.

Grassroots Manager

The National Association of Mutual Insurance Companies (NAMIC) has an opening for a Grassroots Manager in its Washington D.C. office. This position works with the AVP of Political Involvement Programs on all aspects of NAMIC's political programs. Manages grassroots efforts on behalf of the association to include the daily aspects of NAMIC's Congressional Contact Program to ensure that all CCP activities are aligned with NAMIC's goals and objectives.

Essential Functions include but are not limited to:

  • Manages and coordinates NAMIC's grassroots strategy execution to increase political awareness and involvement.

  • Manages day to day responsibilities of grassroots fly-in program, the Congressional Contact Program, which runs on a state-by-state, annual basis:

    • Develops and maintains excellent relationships with state trade associations and other NAMIC state level contacts.

    • Determines dates for the CCP season aligning them with the needs of NAMIC membership and Capitol Hill.

    • Maintains constant communication with NAMIC members on key dates regarding their state's fly–in program.

    • Coordinates with NAMIC's Regional Vice Presidents to identify potential growth opportunities in each state.

    • In coordination with federal legislative team, secures meetings on Capitol Hill according to NAMIC's legislative priorities that meet the needs of NAMIC members and the property/casualty insurance industry.

    • Maintains constant presence of CCP in all internal communication vehicles.

    • Identifies opportunities to market CCP at various meetings like annual convention, regional meetings, and state conventions.

  • Seeks to develop meaningful connections and relationships between NAMIC members and Members of Congress.

  • Assists legislative team through activation of NAMIC member grassroots and grasstops.

  • Assists with advocacy action alerts at the state and federal level while managing participation reports and metrics.

  • Develops and executes Get Out the Vote efforts and campaigns.

  • Researches and compiles information as needed regarding Members of Congress and congressional races.

  • Produces PowerPoints, one-pagers, articles, promotions at the discretion of the AVP of Political Involvement Programs that contribute to the overall goal of political involvement and awareness for NAMIC's membership.

Knowledge, skills, and abilities needed include:

  • In-depth understanding of political and legislative processes.

  • Strong interpersonal, writing and oral communication skills.

  • Ability to maintain excellent relationships with key Capitol Hill staff such as schedulers.

  • Experience with grassroots software programs.

  • Ability to multi-task and work independently.

  • Detail oriented with strong organizational skills.

Qualifications include:

  • Minimum of 3-5 years work experience within the political arena, particularly with association grassroots, government relations, political campaigns or political action committees, and lobbying organizations.

  • Association work experience a plus.

  • Experience in software systems that support political involvement programs is a plus.

  • Ability to successfully pass a criminal background check.

Product Development & Compliance Assistant (Hybrid)

NAMIC Insurance Company (NAMICO), NAMIC’s in-house professional liability insurance company, has a full-time opportunity for a Product Development & Compliance Assistant at our Indianapolis, IN location.

This position assists in the development of insurance products by performing research on professional liability lines of business; ensures the timely preparation, filing, approval, and implementation of existing and newly developed policy forms, endorsements, and rates; serves as a resource to staff on regulatory best practices; and ensures produces and rates comply with applicable laws, regulations, and procedures.

Responsibilities for this position include, but aren’t limited to:

  • Assists the Manager with the development and preparation of casualty rate, rule, and form filings.

  • Manages and coordinates the process for submission of filings and responding to state objections. Oversees the need for extensions, resubmissions, and withdrawals with consideration of individual states’ restrictions and deadlines.

  • Follows up regularly with State Insurance Departments regarding the status of pending filings to achieve approval within 120 days of submission.

  • Coordinates and documents all activities surrounding the filing, approval, and disapproval of all filings with state insurance departments.

  • Assists the Manager in the implementation of approved rates, rules, and forms including updating internal ratings, rules, and forms in the system.

  • Develops filing strategies supporting the efficient implementation of projects related to admitted company products.

  • Works closely with other departments to monitor and communicate filing methods and procedures to ensure rate and form filings in use are accurate and current.

  • Monitors, reviews, interprets and clearly communicates changes and trends in state laws, regulations, and requirements affecting insurance.

  • Understands product initiatives.

  • Participates in the product planning process by researching and analyzing competitors’ products and industry best practices.

  • Assists the Manager in the development of staff training materials related to NAMICO products.

  • Coordinates audits conducted by program partners and assists in compiling necessary information from other departments.

Qualifications include:

  • Minimum of three years of related experience in a product development, compliance, or underwriting role.

  • Experience with professional liability policy contracts and rating, including the ability to explain concepts to others, is preferred.

  • Proficiency in the use of business math, the understanding and use of basic analytical skills, and the ability to compile and analyze data to draw appropriate conclusions.

  • Should have or be willing to work toward professional designations.

  • High school diploma or GED. Associates degree preferred.

  • Ability to successfully pass a criminal background and MVR check.

Project Coordinator, Association Services

The National Association of Mutual Insurance Companies (NAMIC) has a full-time opportunity for a Project Coordinator, Association Services at our Indianapolis, IN location. This position performs administrative, customer service, and project coordination functions with particular focus on association client member and certification activities.

Responsibilities for this position include, but aren’t limited to:

  • Coordinates association client projects by organizing tasks, scheduling, and creating project timelines, and managing the daily and weekly tasks assignments.

  • Assists with monitoring team project completion and identifying opportunities for efficiency, while also monitoring for project creep and potential challenges.

  • Assists with budgeting for projects/programs.

  • Assists Events, Education, and Association Services department with execution of strategic initiatives.

  • Administers database records, certificate distribution, and invoicing.

  • Coordinates committee meetings in support of certification management.

  • Provides customer support for association clients and membership.

  • Provides administrative and operational support to association clients including processing dues invoices, etc.

Qualifications include:

  • Experience in project coordination, administration, and/or customer service is preferred.

  • Experience in association management, certification management, or membership coordination is a plus.

  • Bachelor’s degree or equivalent experience in related business.

  • Demonstrated computer proficiency (Microsoft Office, Excel, Adobe, database management).

  • Must be available for occasional overnight travel by car and air, at times including weekends/ nights. This may include independent travel that requires driving and navigating within city, highway, and rural settings.
